ELHC Volunteer Charter

As a member of ELHC it is expected that you will participate in volunteering to support the running of the Club. There are a wide variety of ways in which you can give back both on and off the pitch. As a member you agree to uphold this commitment to volunteering and to undertake at least two volunteer activities per year (three for members of the 1st and 2nd teams). In addition to our existing selection criteria, captains and coaches will also be looking at your volunteering when making selection decisions, not only as a sign of your commitment to the Club but as an indication of your continuous development of your skills, particularly through coaching and umpiring. 

The Club’s commitment is to advertise and promote volunteering opportunities throughout the season making it easier for people to take part. This activity will be led by the Sponsorship and Fundraising Officer, with support from other committee members such as Umpire Liaison Officers and Head of Youth. The Club will continuously look at how it rewards and recognises volunteering (both paid and none paid) as part of an ongoing effort to recognise and value our volunteers.

The Club will continue to support volunteers by subsidising additional training in umpiring and coaching, including formal qualifications following agreement with relevant Club leads.

How to Volunteer

Umpiring and Umpire Coaching: Without umpires there is no hockey. If you are an experienced umpiring, a new umpire or somewhere in between we need you. We are also looking for experienced umpires to support and coach those new to it. If you are interested in umpiring this year please complete this form and join our umpire whatsapp group. If you have any questions please reach out to our ULOs.

Coaching: Alongside our regular session coaches, another great way to volunteer is as a match day coach. If you are interested in coaching a regular slot or helping out ad hoc on the sideline please fill in this form

Match day officiating: When our W1s play at home they require a Match day official, this role includes keeping time of goals, recording cards and player numbers. If you are interested in helping out in this role regularly or ad hoc please contact our ULOs.

Committee roles: Each year we elect our committee members at the AGM. The list of roles and descriptions is here. Please see <link to news page> to view open positions.

Captaining: Being a captain is a great way to give back and help with the running of the Club. If you would like to learn more please contact your Club Captains or speak to your team’s current captain.

Youth: Our youth sessions run every Sunday and it is the expectation that each team will support in running the sessions twice throughout the season. If you would like to get even more involved with Youth please reach out to Head of Youth.

First aider: Are you a registered first aider or would you like to be? We are exploring arranging courses for first aid training (so watch this space) and will reach out to gauge interest. For those who are already qualified, if you would like to be your team's registered first aider please let your captain know. 

Special Skills - Ad hoc:  Do you have a special skill? With such a large Club full of awesome people we know there are a lot of special skills hiding that could help us from time to time. Are you an accountant? An excel wizard? A graphic designer? A lawyer or have expertise in the lingua Latina? From time to time we will post when we have a side quest that requires support.

Volunteer Reward

Our current approach to rewarding volunteers whilst keeping membership affordable for all: 

  • Elected Club Committee Members: Will receive a discount on subs (amount to be communicated at the start of each season following annual financial review) 
  • Captains: Twice yearly captains dinner, organised by Club Captains subsidised by the Club (amount to be review yearly by Treasury and agreed with CC’s) 
  • Coaching and Umpiring: paid directly via Treasury (amount to be communicated at the start of each season following annual financial review)
  • Drinks tokens and prizes at the End of Season 


Competition and prizes for volunteers: 

  • Top 5 Club Volunteers - discounted subs next season (amount to be communicated at the start of each season following annual financial review)
  • Top 5 Club Umpires - free End of Season Ticket 
  • Top 5 Club Coaches (inc Youth) - free End of Season ticket
  • Top Volunteering Team (most hours) - prizes at the End of Season 
  • Top Volunteering Team (most people) - prizes at the End of Season
  • New Umpire award (new umpire who has done the most games) - free End of Season ticket



There are a number of additional End of Season awards for volunteering and volunteer hours are a key determining factor in Team of the Year. 

We will continue to review and confirm amounts each year based on Treasury review

Volunteer Tracking

To best understand our volunteer needs and who to award prizes to we need to record volunteering! The Sponsorship and Fundraising Officer, will be responsible for tracking volunteer efforts through the year and management of leaderboards. Members are responsible for providing data to be recorded. 

  • All coaching and umpiring will be tracked via the master volunteer spreadsheet. Treasury will use this sheet to manage payments
  • Committee roles and captains will be managed by Volunteering and Sponsorship lead
  • Youth Volunteering attendance will be tracked on the Teamo register, Captains to ensure this is recorded. The Sponsorship and Fundraising Officer will then add to the master sheet. 

Any other volunteering will be recorded via this Google Form, completed by members
